Booking Policy for Exceptional Service

At Calma Vida by Helen, I am committed to providing you with the utmost convenience and exceptional service when booking your appointments. To ensure a smooth and seamless experience, please review the following policies:
Secure Booking and Payment Process
To streamline the booking process, I use the Square Appointments app for both scheduling and payment. Payments are required in full at the time of booking to secure your preferred time slot.
Booking for Existing and New Clients
Both new and existing clients can easily book appointments online. However, for new clients, I kindly ask that you first check the list of areas and cities I cover before booking. This helps prevent any inconvenience or cancellations, as I am unable to provide services outside of these areas. If an appointment is booked outside of my service area, I will need to cancel and issue a refund, which I’d like to avoid to ensure the smoothest experience for everyone.
Manually Reviewed Booking Requests
For new clients booking via email or text, I will request your location to ensure it's within my coverage area. If your location falls within the service areas I cover, I will confirm your appointment, and payment will be due upfront to secure the booking. This helps ensure a smooth and efficient process for both of us.
Your satisfaction is our top priority, and we appreciate your cooperation in adhering to these policies to ensure a seamless experience for all our clients.

No Refunds for Confirmed Bookings
Please note that once a booking is confirmed, refunds are not issued. This policy helps me efficiently manage my schedule and resources. Your understanding and cooperation are greatly appreciated.

Arrival and Preparation for Your Appointment

At Calma Vida by Helen, we are dedicated to providing you with exceptional service. To ensure your appointment runs smoothly, your therapist will always arrive 15 minutes early to set up and prepare for your session.
To help us arrive and begin on time, please provide detailed instructions for your location, including apartment numbers, gate codes, names registered with security, elevator pins, directions to hidden or hard-to-find streets, or any specific entry instructions for gated communities.
If, for any reason, the door is not opened or you're not available 15 minutes after your scheduled appointment time, I will unfortunately need to cancel the session. As I work with back-to-back clients and travel across multiple cities, I cannot start sessions late. I want you to have the full experience and would rather not cut your time short. Please understand that no refunds will be issued under these circumstances.
To ensure a seamless, personalized service, please also ensure a 10x10 space is available for your treatment.

Cancellations and Rescheduling Policy

At Calma Vida by Helen, we understand that life can sometimes be unpredictable. To ensure that we can best accommodate your needs and maintain a smooth scheduling process, we’ve outlined our cancellation and rescheduling policies.

Cancellations:
We kindly ask that you notify us at least 48 hours in advance if you need to cancel your appointment. This allows us the opportunity to offer that time to other clients who may need it.

Cancellations made at least 48 hours before the scheduled appointment will incur no charges.

Cancellations made within 48 hours of the scheduled appointment will result in a full charge, and no refunds will be issued.
We appreciate your understanding and cooperation in adhering to these policies, as they allow us to maintain the high level of service and respect for all of our clients.

Rescheduling:
You may reschedule your appointment up to 48 hours before your scheduled time with no additional charge for the first rescheduling request. However, any subsequent rescheduling requests will incur a nominal fee of $50.

No-Show Policy

At Calma Vida by Helen, your time and well-being are very important to us. If you are unable to make your scheduled appointment, we kindly ask that you provide notice as soon as possible.
If there is no response or you are not available 15 minutes after your scheduled appointment time, I will unfortunately need to leave. As I work with back-to-back clients and travel across cities, it’s essential that appointments start on time.
In the case of a no-show or failure to provide adequate notice, you will be charged the full amount for the session, and no refunds will be issued. This policy ensures that all clients are respected, and that time is effectively managed for everyone.

Results Disclaimer
While we strive for your complete satisfaction, please be aware that individual results may vary. Factors such as body composition, lifestyle habits, and overall health can impact the outcome of treatments. We cannot guarantee specific physical changes, as every body reacts differently.

Medical Conditions and Clearances
If you have any medical conditions that could affect your ability to safely receive treatments, it is your responsibility to inform us prior to your appointment. For certain conditions, we may require a medical clearance from your physician to proceed safely with treatments.
Treatment Recommendations
For optimal results, we highly recommend following any post-treatment care instructions provided by our experienced therapists. We advise against spreading out sessions too far apart to ensure maximum effectiveness.
Exclusions for Certain Treatments
For your safety, there are certain medical conditions that may prevent individuals from receiving specific treatments. These conditions include, but are not limited to:

Pacemaker usage

Active chemotherapy or radiation treatment

Gift Card Policy for an Exceptional Gifting Experience

At Calma Vida by Helen, we are dedicated to providing an exceptional and seamless gifting experience for both our valued customers and their recipients. To ensure transparency and convenience, we have outlined the following policy regarding our gift cards:
Validity Period
All gift cards, whether e-gift cards or physical cards, are valid for 12 months from the date of purchase. We encourage recipients to use their gift card within this period to fully enjoy its value.

Security and Responsibility
As the bearer of value, it is the responsibility of the customer to keep gift cards secure. We are not responsible for any lost or stolen cards, and unfortunately, we cannot replace e-gift cards.
Replacement Cards (Physical Cards Only)
In the event that a physical gift card is lost or damaged, a replacement card may be issued for a nominal fee of $20, excluding shipping costs. Please note that the replacement card will not extend the original expiration date.
No Refunds
All gift card purchases are final, and no refunds will be provided for any reason.

To accommodate clients with varying schedules, we offer after-hours appointments. Please note that appointments booked outside of our regular business hours will incur an additional fee, as outlined below:
